Preschool Policies and Procedures 2026-2027

Tuition and Fees

Tuition payments and fees can be paid though the Bon Air Weekday school page on the Bon Air Baptist Church website.  To pay by check, please make checks payable to BABC Weekday and attach them to your child’s tote bag.  Tuition is due on the 15th of the month prior to the upcoming month of instruction (e.g., February tuition is due January 15). Late payments incur a $50 fee.  

Arrival and Dismissal

Please adhere to scheduled arrival and dismissal times. Teachers cannot supervise early arrivals. Children should be picked up promptly at 12:30 p.m. or 3:00 p.m. Late pick-up fees: 

  • 15–20 minutes late: $10 
  • 20–30 minutes late: $20 
  • Over 30 minutes: $20 plus $10 for each additional 5 minutes 

Drop-Off and Pick-Up Procedures

Lower Parking Lot: Morning carline runs 9:20–9:45 a.m. Ensure car doors are unlocked and car seats unbuckled. For afternoon pick-up, wait for the double gate to open before proceeding to your child’s classroom door. Do not park in fire lanes or handicapped spaces without a DMV-issued permit. 

Upper Loop: For both drop off and pick up, you will park in the parking loop.  Walk your child to the classroom door for drop-off. Keep farewells brief and reassuring. For afternoon pick-up, wait for the gate to open, then pick up your child at the classroom door. 

Anyone picking up a child must present identification if not personally known to staff. Verification from a child or another parent is not acceptable. If arriving after gates close, remain in your car and call 804-272-5977 or text your child’s teacher or the director. 

Communication

Send written notes pinned to your child’s tote bag for any changes in pick-up arrangements. Verbal messages via children cannot be accepted. For emergency early pick-up, text the teacher or director with your child’s name, pick-up time, and authorized adult’s name. Check your child’s tote bag daily for projects and correspondence. 

Health Policy

Keep your child home if they show symptoms of illness (cold, flu, pink eye, fever). Children must be fever-free and vomit-free for 24 hours without medication before returning. If illness occurs at school, parents or emergency contacts will be notified. 

Clothing and Supplies

Label all clothing. Provide weather-appropriate attire daily. Younger classes require a daily change of clothes, diapers, and wipes to be kept in the school tote bag. Please send only disposable diapers. Potty-trained children should wear underwear or pull-ups with tabs. Once potty-trained, classes will keep a bag at school with spare clothing which needs to be changed out seasonally.

Playground Safety 

Do not allow children to play in parking lots or playgrounds after pick-up. Bon Air Weekday and Bon Air Baptist Church are not responsible for children after hours. Playground use outside school hours is at your own risk.

Our playground is covered with sand and rubber tire mulch.  Please send your children with closed-toed shoes each day.  Crocks and sandals do not protect their feetTennis shoes are the best.

Food and Personal Items from Home

Do not bring breakfast or unfinished snacks into the classrooms.  Send one healthy snack (e.g., fruit, cheese, crackers). No candy, cookies, gum, or popcorn. Students staying for an extended day will also need to bring lunch.  All food must be nut-free. Personal toys should remain at home unless pre-approved. 

Rest time

In the extended day program, the younger children will have scheduled rest time with individual nap mats provided.  Comfort items may be allowed based on age and teacher agreement. 

School Closure Procedures

Safety is important to us. In the past, schools have closed due to tropical storms, high winds, power outages, snow, ice, and extended periods of freezing temperatures. Bon Air Weekday will follow Chesterfield County Public Schools’ decisions as a guide; however, we will make our own final decisions about closures or delays.  If Chesterfield County Public Schools are closed, we will remain closed.  If they announce a 2‑hour delayed start, we may choose to open or remain closed depending on conditions. In the event we operate on a 2‑hour delay, our school day will begin at 11:30 a.m., the morning program will end at 1:30 p.m., and extended day will still end at 3:00 p.m. 

 If Bon Air Weekday is closed or delayed, you will receive an email and text from the school. You will also receive a text from your child’s teacher. All decisions will be made and communicated no later than 7:00 a.m. on the morning of the closure or delay.  Additional information will be shared or posted based on changing conditions.  

 Weather conditions can vary significantly from one neighborhood to another. Please make attendance decisions based on what is the safest choice for your family.   Please do not call the church office. The church schedule may differ from the Weekday School. 

Administrative Policies

  • All children are covered by accident/liability insurance during program hours. 
  • The preschool operates under Virginia Code 22.1-289.031 and is religiously exempt from licensure. Annual inspections and background checks are required. 
  • Annual inspections are carried out by Chesterfield County Fire, State Health Department and Social Services.  
  • Every staff member has a criminal background check including fingerprinting through the National Registry and submits an annual physician statement.  
  • Parents are required to submit updated immunization records, proof of birth, photo release, and medical consent forms before the first day of school. 
  • Classroom placement is initially decided by age, and the birthday cut-off is September 30.  All children 3-year-old and Pre-K programs must be fully potty trained. 
  • Bon Air Weekday reserves the right to adjust classroom placement as needed.   
  • One month’s written notice of withdrawal from the program is required for any financial refunds to be applied or at the discretion of the Weekday School Board and Managing DirectorAny extenuating circumstances will be considered.
  • In the case of missing more than 5 consecutive school days, any make-up days or compensation will be dealt with in a case-by-case situation as a decision with the Weekday School Board and Managing Director. 
  • Notify the school of any changes in address, phone number, or emergency contacts immediately. 

Policies may only be changed by the director with staff support. Families will be notified of any changes affecting their child.
